Here are a few things you need to know:
Exhibitors and Fan Tables will be in a public space that's pulling double-duty so you'll likely need to break down at night. Keep that in mind when you're deciding on your setup.
We have to limit the number of passes provided. We're offering 4 passes per group. Any additional passes needed can be purchased for a discounted price.
Someone from your group will need to be at your table during all hours that the Vendor Hall is open, 10 AM - 5 PM on both Saturday and Sunday. A volunteer will be able to keep an eye on your table if you need a break and don't have backup at the time but otherwise please ensure there is someone is at your table who can speak knowledgeably to guests, for the duration of the event.
If you are able we would love your group to host one panel.
Exhibitor and Fan Table Terms, Conditions and Disclaimers
Setup must remain intact and attended throughout the convention hours and may only be dismantled after the convention's closing.
Azalea City Con will not be held responsible for issues arising from unattended personal or service provider property.
Service Providers must comply with all local, state, and federal laws and will not hold Azalea City Con liable for any breaches, losses, or damage to themselves or their property.
Service Providers will hold harmless Azalea City Con and all Azalea City Con staff members and workers for any personal injury or damage to persons or goods that may occur.
Service Providers are responsible for providing their own insurance, if desirable, to protect their property from damage, loss, theft, harm, or injury. Azalea City Con will not obtain insurance on the Service Provider's behalf.
All Service Providers are deemed independent businesses/entities and do not represent Azalea City Con in any way.
All merchandise bought or sold at Azalea City Con is done strictly between the Service Provider and attendees/buyers.
Service Provider is responsible for submitting all applicable taxes from sales to the applicable state or federal organization.
All props or replicas weapons must always be in possession of the Service Provider and unreachable by attendees. No chemical, electronic, bladed weapons, or projectile weapons are allowed at Azalea City Con. Any props or replicas must be peace-bound or boxed upon sale.
No food or beverage sales are allowed.
Service Providers shall not display material that is deemed offensive or inappropriate. Azalea City Con has the sole right to determine what is or is not offensive or inappropriate.
Any adult material containing nudity must be covered in accordance with local and state laws. Service Providers agree not to display or sell any adult materials at Azalea City Con.
No items may be attached to the wall. All displays must be freestanding and must not obstruct aisles.
Advertising non-sanctioned events that coincide with the convention is prohibited.
Nudity is NOT allowed in convention areas under any circumstances.
No bingo, lottery, or gambling is allowed.
Service Providers agree to comply with all municipal, state, and federal requirements concerning all sales, including but not limited to sales or other tax laws. Vendors/Artists will be responsible for all filings with state and local ordinances.
All members of the Service Provider's staff must have easily recognizable identifiers on themselves and/or their convention badge. Only approved and identified Service Provider staff are allowed to provide contracted services on behalf of the Service Provider.
No Subletting without prior approval from the Azalea City Con Board.
No materials or exhibits may interfere with traffic low, safety features of the venue, exits, or other exhibitors, vendors or Service Providers.
Any damage caused to the building or its furnishings by Service Providers is the sole responsibility of the Service Provider.
All property must be removed from the venue at the close of the convention. Anything not removed from the venue at the conclusion of Load Out will be considered abandoned.
Service Providers are expected to follow the same convention rules and expected behaviors as the attendees. Any Service Provider staff members ejected from the convention during any hour must leave immediately. Service Providers ejected from the convention may the following day during the set-up time to remove their belongings from the venue.
Azalea City Con reserves the right to change, amend, and add to the rules and regulations of the show at any time. If new rules are added, the website will be updated, and you will be notified. Violating the above rules may result in losing merchant privileges and/or Membership.
